Job Title: Head of Office

Location: Poole, Dorset

Salary: Salary range: £31,967 – £52,793 (depending on experience and skills) Pay in line with IPSA pay scales.

Length of Contract: Permanent subject to a 6 month probation period

Job Details

Key responsibilities:
STRATEGIC
• In conjunction with the team, create and oversee an ongoing plan of the MP’s work programme both in Parliament and the constituency.
• Horizon-scan, anticipating what advice or action may be required; proactively identify problems & resolve them.
• Provide high quality, efficient and effective support to the MP as required.
• Conduct parliamentary research as required.
• Take ownership of certain casework as required.
• Assist with surgeries and other meetings as appropriate.
HR
• Support and manage recruitment of staff for MP’s office.
• Manage office team (across both sites), ensuring accurate personnel records are kept and notifying IPSA of contractual changes as necessary.
• Identify training opportunities and ensure office team maintain and develop knowledge of relevant legislation where appropriate.
FINANCIAL
• Responsibility for managing all aspects of the budget, keeping MP informed of all relevant financial matters and liaising with IPSA on office finance.
ADMINISTRATIVE
• Lead and maintain a highly professional administrative support function for MP’s office, creating and maintaining systems as appropriate.
• Overall management of MP's diary commitments, delegating tasks to others as appropriate.
• Ensure records are kept and information managed confidentially and in line with data protection legislation.
• Ensure the office is fully equipped.
• Have final sign-off on all relevant delegated areas from the MP, for example constituent correspondence.
COMMUNICATION
• Liaise with groups/personnel including at Westminster, within the constituency and the general public on the MP’s behalf.
• Plan the MP’s internal communications and external stakeholder engagement and provide strategic advice on constituent matters on behalf of the MP where appropriate.
• Draft communications as appropriate, including oversight of all website and social media output.
SECURITY
• Deal with security matters, keep abreast of security guidance, maintain the security system, liaise with external bodies as appropriate.
OTHER
• There may be requirement for the role holder to work outside of normal working hours including attending events with the MP as required.
